PAYMENTS, CANCELLATIONS, CHANGES, TIMELINES, FEES, REFUNDS, CHECK-INS & OUTS, CHILDREN, DAMAGES, PARKING, PARTIES, PETS, PHONES, PRIVACY AND QUIET TIMES
PAYMENTS:

All payments will be made by VISA, MasterCard, or Discover Cards. The balance will be run 21 days in advance of the time of your arrival. We do not accept American Express for online reservations, if this is your only way to pay, please call and we will add a 5% fee to the total for processing that card on Square.

CANCELLATIONS:

As a small, independent property, we ask for your understanding in respecting our cancellation, change and no-show policies. Please read carefully as it is a binding contract when you reserve a room.

If you must change (lengthen, shorten or cancel) your reservation, please do so within the timeframe indicated below. If a reservation is cancelled or shortened after the cancellation period expires, the guest is responsible for full payment of the original reservation. Changes or cancellations must be made via phone or email, and you must receive a confirmation email from The Texas White House b&b. There are no refunds for early departure from the reservation dates.

CANCELLATION TIME FRAME:

Standard reservation:
$30 change or cancellation fee per room, per night if cancelled at any time up to 12 days prior to arrival. If the room is re-booked we may be able to refund ½ the room rate.

Stays of five nights or longer, or group reservations of 3 rooms or more:
$50 change or cancellation fee per room, per night if cancelled at any time from 60 days up to 21 days prior to arrival. If less than 21 days prior to arrival, you are financially responsible for the full reservation.

Other special events/holidays (TCU home games, Thanksgiving, Christmas, Valentine’s, New Year’s and Memorial Day):
$30 change or cancellation fee per room, per night, if cancelled at any time up to 14 days prior to arrival. If less than 14 days prior to arrival, you are financially responsible for the full reservation.

All room rentals, all 6 rooms:
A check for the $500 deposit is required to hold the reservation. This deposit will be applied to the balance on the rooms. There is also a $250 (refundable) security deposit due at the same time as the $500 deposit. If there is a change or cancellation less than 30 days prior to arrival, you are financially responsible for one night’s stay (per room). Full payment is due 21 days prior to arrival. A separate rental agreement must be signed for all-room rentals, as well as a $100 fee at the time the balance is due.

CHECK IN & OUT:

Check in time is flexible, starting at 2:00 pm. We will text/call the cell number on file to let you know when the room is ready and get an ETA from you, so that we can coordinate the process. Check in can be as early at 2:00 pm (we will confirm this with you on the day of your arrival). Checkout is 11:00 am (firm). We have a small staff that needs time to prepare rooms for arriving guests. If you require more time, a late checkout at noon can sometimes be arranged with a $25 fee and prior notification. We can also hold luggage in a secure space to accommodate travel plans, there is no charge for this. If you do not vacate the room on time, without prior approval, the fee is $25 per 15 minutes, charged to the card on file.

CHILDREN:

Children under 18 are not allowed at the b&b without prior approval. If you arrive with a child, you will be denied a stay, with no refund to you. If we see that a child has stayed in the room, you will be charged a $100 fee for not following our “no children” policy! You will also be charged for any damage or excessive cleaning fees.

DAMAGE TO PROPERTY IN ANY WAY:

Guests are responsible for any damage or loss they cause to the property. Guests may be charged for cleaning fees for stolen, damaged, destroyed or excessively soiled towels, linens and other goods in the room, main house, or grounds. Guests that cause other guest complaints due to excessive noise, could also be charged a fee if other guests decide to vacate the property!

NO SMOKING, CANDLES OR INCENSE:

The Texas White House is strictly a nonsmoking facility. Smoking is allowed only in the designated smoking area outside, on the property. Smoking is not allowed in the main house or in guest rooms by order of the Fire Department. Evidence of smoking including the smell of smoke in the room or in the main house will result in a minimum $250 charge, plus the cost of any damaged property. No open flame or burning of any sort of objects, including candles or incense, is allowed in the room or main house. If a guest wants to use the chiminea, outside- prior approval from staff or innkeeper is required.

OCCUPANCY IN THE ROOMS OR ANYWHERE ON THE PROPERTY:

All guest rooms accommodate single or double occupancy for the same rate. The Cowtown West room can accommodate an additional 2 guests on the sofa/sleeper for an extra charge of $20/night for each additional guest beyond 2 persons in the room. This must be approved upon reserving the room. Additional guests on the property must be approved, if beyond 2 people visiting for a short while, not allowed overnight or past 10 pm.

PARKING:

Off-street parking is available, but limited to overnight guests. One free off-street parking space is typically available for each guest room. Additional free parking is available on nearby streets. We are not responsible for damage to vehicles, or damage or loss of property left in parked vehicles, regardless of location.

PARTIES, EVENTS OR GATHERINGS:

Thinking of inviting some friends over? Please check with us first! Due to the intimate nature of our property, private events are not allowed without prior notice, written contracts and fees attached. Extra guests not staying at the property require approval for staying more than an hour at the B&B. In the event that a guest has violated this policy, a charge of $200/hour will be run on the card on file.

PETS:

We no longer allow pets at the B&B. If you need assistance finding boarding for your pet, we can assist in that!

PHONES:

We do not provide telephones in the guest rooms. We ask that you are courteous to other guests and kindly monitor your time and volume while using your cell phone in the room.

PRIVACY:

Your privacy is important to us. We allow our guests to sleep in, if they desire, past breakfast. However, quiet we will try to be, we must clean other rooms for the next guests arriving on the property. If you have a “Do Not Disturb” sign on the door- we will make sure you are not in the room, but we have the right to enter on a daily basis, to check the surroundings. We only enter to freshen the room by taking out food and trash and removing wet towels, as well as replace linens. We never disturb personal items and will not make up the bed if it is covered with your items.

QUIET HOURS:

Please show respect for other guests and keep noise to a minimum between the hours of 9:00 p.m. and 9:00 a.m. Guests who disturb other guests will be asked to leave and will not be provided a refund.
